Exports & Sharing

Use shopping PDFs and shareable notes properly, and know when a static handoff is better than the live app view.

Exports are best when someone needs a dependable snapshot rather than a live collaborative view.

Refresh timing matters because an export captures a moment, not the list forever.

Shared content is easier to trust when you decide clearly whether it should stay live or become static.

In this guide

Section 01

When a static export is the right tool

Use an export when one person needs a dependable snapshot that will not shift while they are acting on it. This is especially helpful for store trips, handoffs to another adult, or moments when the recipient cannot stay inside the live app comfortably.

  • Choose live views when collaboration is still active.
  • Choose static exports when clarity matters more than real-time updates.
  • Be explicit about which version someone should trust if you are sharing both live and static information.

Section 02

What the shopping PDF is meant to capture

The PDF is not there to replace the live list permanently. It is there to make a store run or handoff simpler when the live interface is not the best tool in that moment.

  • A readable list of current shopping items.
  • Enabled planned amounts and the family currency where relevant.
  • A stable format that can be printed, messaged, or saved for the trip.

Section 03

How to share notes without losing context

  • Make sure the note title and first lines explain the context clearly before sharing.
  • Trim obsolete instructions so recipients do not need to guess which part still applies.
  • If the information is still evolving quickly, send the live note only when the audience can handle that variability.

Section 04

Keep exported and shared material current

  1. 1Refresh the live content first.
  2. 2Check currency, totals, or note wording one last time.
  3. 3Share or export only after the content stops changing for the immediate task.
  4. 4If the source changes meaningfully afterward, resend the new version instead of assuming the old snapshot is “close enough.”

Static copies drift quickly

A PDF or shared snapshot becomes outdated the moment the live source changes. If the trip or task is sensitive, resend the current version rather than explaining the delta manually later.

Section 05

If a recipient sees the wrong or outdated version

  • Check whether they opened an older file or link first.
  • Reshare from the latest source instead of patching the mismatch by text alone.
  • If the mismatch keeps happening, review your workflow so there is a clear point when the export becomes authoritative.
